‍The Coalition of Innovation Leaders Advancing Respect ("CILAR", "we", "our", and "us") approaches our communications with you, including on the Internet, with respect for and commitment to protecting your privacy rights. This privacy policy (the "Policy") describes how we collect, protect, use and share information gathered about you, including on our website at https://www.cilar.ca and its related pages (the "Site"). We hope that this disclosure will help increase your confidence in how we collect, protect, use and share information, including on the Site, and enhance your experience on the Internet.

Please note that by visiting CILAR at the Site, you accept the practices described in this Policy. If you do not agree with our policies and practices, your choice is not to use our Site. By accessing or using this Site, you indicate that you understand, accept, and consent to the practices described in this Policy.

CILAR may review this Policy to ensure that it is relevant and remains current with changing laws, regulations and technologies and reserves the right to change this Policy at any time. Our updated Policy will be posted on the Site and will be current as of the "Last modified date" set out above.

Your continued use of the Site after we make changes indicates that you accept and consent to those changes, so please check the policy periodically for updates. If we make material changes to how we treat our users' personal information, you will be notified through a notice on the Site home page or otherwise provided to you. ‍Personal information is any information about an identifiable individual, which includes information that can be used on its own or with other information to identify, contact, or locate a single person.

This policy applies to personal information about individuals and does not apply to the information collected, used or disclosed with respect to corporate or commercial entities. Also, this policy does not impose any limits on our collection, use or disclosure of information exempted under applicable privacy legislation, including business contact information and certain publicly available information.

‍How Do We Collect Your Personal Information?
‍We use different methods to collect your personal information, including through:
Direct interactions with you when you provide it to us, for example, by filling in forms or corresponding with us by phone, email, or otherwise.

‍What Personal Information Does CILAR Collect?
‍CILAR may collect various information directly from you or through the Site, including your first and last name, address, phone number, email address, organization name, your role or title within that organization, and subject of inquiry (e.g., information requests), preferred means of communication, your interaction with the Site, social media sites and mobile applications (including information such as IP addresses, browser type, language, access times, referring website, etc.), and other information you provide to us.

When you make a donation through the Site, we also collect your name, email address, and donation amount for the purposes of processing the transaction, issuing tax receipts, and maintaining financial records as required by applicable Canadian law. Payment card details are processed exclusively by our third-party payment processor and are not stored by CILAR.

‍Information We Collect Through Cookies and Other Automatic Data Collection Technologies:
‍As you navigate through and interact with the Site, we may use cookies or other automatic data collection technologies to collect certain information about your equipment, browsing actions, and patterns, including:
Details of your visits to the Site, including traffic data, location data, logs, and other communication data and the resources that you access and use on the Site.

To other third parties, such as sponsors and website content partners, but only where and to the extent you give us your permission to do so.
To third-party service providers who perform services on our behalf, including website hosting, payment processing, email delivery, and analytics services. These providers are contractually required to protect your information and use it only for the services they provide to us. This includes Google, in connection with our use of Google Analytics.
To social media platforms, including LinkedIn, where you interact with embedded content or social sharing features on the Site. Your interactions with such features are subject to the privacy policies of those platforms.
To comply with any court order, law, or legal process, including to respond to any government or regulatory request in accordance with applicable law.
To enforce our Terms of Use and other agreements.
If we reasonably believe disclosure is necessary or appropriate to protect the rights, property, or safety of CILAR or others.

‍Why Does CILAR Collect, Use and Disclose Personal Information?:
‍CILAR collects, uses and discloses your personal information for the following purposes:

To allow you to use portions of the Site, such as our forums.
To allow you to participate in our programs and to administer those programs.

To comply with legal and regulatory requirements, including Canada Revenue Agency requirements applicable to nonprofit organizations.

For any other purposes we may inform you about from time to time, or that is permitted by applicable law.

When your personal information is to be used for a purpose not previously identified, the new purpose will be disclosed to you prior to such use, and your consent will be sought unless the use is authorized or required by law.

We may work with other companies to provide services on our behalf, such as website hosting services, payment processing services, analytics services, and product delivery services. Those service providers will be permitted to obtain only the personal information they need to deliver the service in question, and they will be required to maintain the confidentiality of that information.

‍Transferring Your Personal Information:
‍We may transfer personal information that we collect, or that you provide as described in this Policy, to contractors, service providers, and other third parties we use to support our organization and who are contractually obligated to keep personal information confidential, use it only for the purposes for which we disclose it to them, and to process the personal information with the same standards set out in this Policy.

This includes transferring your personal information to service providers located in the United States and other jurisdictions outside of Canada, including Google in connection with our use of Google Analytics, who may be subject to applicable disclosure laws in those jurisdictions. ‍CILAR will not sell or rent your personal information to third parties and will obtain your consent to collect, use or disclose your personal information, subject to certain exceptions. For example, we may collect, use or disclose personal information without your knowledge or consent where:

You may withdraw consent at any time, subject to legal, contractual and other restrictions, provided that you give reasonable notice of withdrawal of consent to us. On receipt of notice of withdrawal of consent, we will inform you of the likely consequences of the withdrawal of consent, which may include our inability to provide certain services for which that information is necessary.

‍Limits on Collection:
‍CILAR will limit the collection of information to that which is reasonable and necessary for the above purposes or as is otherwise authorized by law.

‍Limits on Using, Disclosing and Retaining Personal Information:
‍CILAR will only use and disclose your personal information for the purposes set out above and as authorized by law.

We will keep personal information used to make a decision affecting you for at least one year after using it to make the decision unless otherwise permitted or required by law.

We will destroy, erase or make anonymous documents or other records containing personal information as soon as it is reasonable to assume that the original purpose is no longer being served by retention of the information and retention is no longer necessary for legal or business purposes. Donation records will be retained for a minimum of seven years in accordance with Canada Revenue Agency requirements applicable to nonprofit organizations.

‍Accuracy:
‍CILAR will make a reasonable effort to ensure that the personal information we are using or disclosing is accurate and complete. In some cases, we rely on you to ensure that certain information, such as your address or telephone number, is current, complete and accurate. It is important that the personal information we hold about you is accurate and current. Please keep us informed if your personal information changes.

If you demonstrate the inaccuracy or incompleteness of personal information, we will amend the information as required. We may not accommodate a request to change information if we believe the change would violate any law or legal requirement or cause the information to be incorrect. If appropriate, we will send the amended information to third parties to whom the information has been disclosed.

‍Accessing and Correcting Your Personal Information:
‍By law, you have the right to request access to and to correct the personal information that we hold about you. If you want to review, verify, correct, or withdraw consent to the use of your personal information, you may send us an email using the contact listed below. We may request specific information from you to help us confirm your identity and your right to access and to provide you with the personal information that we hold about you or make your requested changes.

Upon your written request and the authentication of identity, CILAR will provide you with your personal information under our control, information about the ways in which that information is being used and a description of the individuals and organizations to whom that information has been disclosed. We will make the information available within 30 days or provide written notice where additional time is required to fulfill the request.

In some situations, we may not be able to provide access to certain personal information. This may be the case where, for example, disclosure would reveal personal information about another individual, the personal information is protected by solicitor/client privilege, the information was collected for the purpose of an investigation or where disclosure of the information would reveal confidential commercial information that, if disclosed, could harm our competitive position. We may also be prevented by law from providing access to certain personal information.

Where an access request is refused, we will notify you in writing, document the reasons for refusal and outline further steps which are available to you, subject to any legal or regulatory restrictions.

‍What is Aggregate Information?"
Aggregate information" is standard web server and visitor traffic information regarding overall website traffic patterns. Web servers typically collect this type of basic information as part of their web log processes. This aggregate information does not identify you and thus does not constitute personal information.

In addition to information provided by our visitors, we use the normal Internet tracking tools associated with standard Internet protocols and web-based systems, including Google Analytics. This system information is typically stored in log files and is used for aggregate reporting. Aggregate reporting includes the total number of visitors, most visited sections, peak traffic times, and similar data. Log files are used for recording information, such as:
Service provider IP addresses.Browser versions.
Referring websites.
Search terms used.
Average number of pages requested.
Average duration of visit.
Total visitor traffic.

We use aggregate information gathered from your visit to better design the Site. This information supplies us with a broad picture of how people use the Site in order to help the management of our systems and to better serve our audience.

‍How Do We Protect Your Personal Information?
‍The security of your personal information is very important to us. In order to prevent unauthorized access to your personal information, maintain the accuracy of your personal information, and to ensure your personal information is used and disclosed only pursuant to this Policy, CILAR strives to maintain physical, electronic, contractual, and administrative safeguards to protect personal information collected with an appropriate level of physical or electronic security.

Unfortunately, the transmission of information via the Internet is not completely secure. Although we do our best to protect your personal information, we cannot guarantee the security of your personal information transmitted to our Site. Any transmission of personal information is at your own risk. Confidentiality and security are not assured when information is transmitted electronically. We are not responsible for circumvention of any privacy settings or security measures contained on the Site.

In the event of a data breach that poses a real risk of significant harm to an individual, CILAR will notify the affected individual and the Office of the Privacy Commissioner of Canada as required under applicable federal privacy legislation.

‍What About Practices of Linked Sites?This Policy applies only to the Site. Please be aware that CILAR is not responsible for the privacy practices of other websites to which it has links. Clicking on those links or enabling those connections may allow the third party to collect or share data about you. If you follow a link to a third-party website or engage a third-party plugin, please note that these third parties have their own privacy policies, and we do not accept any responsibility or liability for these policies. We encourage you to read the privacy statements of each and every website that requests personal information from you.

‍How Do We Use Cookies?
‍A cookie is a small text file sent from a web server and placed on your computer's hard drive. A cookie is generally used to enhance your browsing experience. You can choose to set your browser to detect and reject cookies, to accept cookies from all sites, or to prompt you whenever a site wants to send you a cookie. Check your browser's Help files to learn how to do this. If you choose to refuse cookies, you may not be able to access some of the interactive features on our Site.

Cookies used by CILAR do not give us access to anything on your hard drive and cannot do anything to your computer. CILAR uses two types of cookies: session cookies (temporary) or persistent cookies (longer-term continuing use).

Session cookies may be used to support online feedback and discussion, forms, and registration transactions. They are used only during online sessions and expire when you close your browser.Persistent cookies are different from session cookies because they are stored on your computer's hard drive for some length of time. CILAR also uses Google Analytics cookies to collect aggregated, anonymized information about how visitors use the Site. These cookies do not personally identify you. cilar.ca may also include social media features and embedded content from platforms including LinkedIn.
